Position Descriptions

The Board of Directors shall be responsible for scheduling and planning the annual conference and other programs. Decisions on meeting dates, program substance, the assessment of fees and the expenditure of funds, and the like, will be made by the Board. The Board will coordinate an evaluation of the conferences and will consider the results in planning subsequent events.

Board Members

The Board Members shall be responsible for the design and deliver professional development opportunities for individuals in the field of institutional research, planning, and assessment.  Board Members also assist the President with conference planning, scheduling, evaluations, and marketing strategies.  Board members are elected by a vote of all current members of the Oklahoma Association for Institutional Research and Planning.  The term of office of Board Members is three years or until a successor takes office.

 

Secretary

The Secretary shall be responsible for the minutes of the meetings of the Board of Directors and conference business meetings, sending correspondence and email notifications to OKAIRP participants, and prepare and present a report on the minutes and current events at the business meetings.  The Secretary shall also assist the President with conference planning, scheduling, evaluations, and marketing strategies.  The term of office of the Secretary is three years or until a successor takes office.

 

Treasurer

The Treasurer shall be responsible for the receipt and disbursement of all funds of OKAIRP and for the establishment and maintenance of appropriate records of all fiscal transactions, assist the President with maintaining a list of current members, and prepare and present a report on current budget funding and fiscal responsibilities at the business meetings.  The treasurer shall assist the President with conference planning, scheduling, evaluations, and marketing strategies.  The treasurer shall ensure that all expenditures are within the approved budget and have been properly incurred under the policies of OKAIRP.  The term of office of the Treasurer is three years or until a successor takes office.

 

President

The President shall chair the Board of Directors and preside at the business meetings and meetings of the Board of Directors.  The President shall represent OKAIRP in relations to other professional and educational organizations and shall develop strategies to meet the professional development and continuing education needs of members.  The President shall also oversee and direct conference planning, scheduling, evaluations, and marketing initiatives.  The term of office of the President is two consecutive years (or until a successor takes office) and as Immediate Past President (unelected but active voting member) until replaced by the next ex-President.  

Immediate Past President

The Immediate Past President is an ex-officio member of the board.  He/she is a non-elected active voting member and serves in this capacity until the new elected President becomes the Immediate Past President.  The involvement of the immediate past president is essential for a smooth transition in the OKAIRP management and fiscal operations.
